Calendar Tips

I get it, you’re busy! You have to cram a lot in every single day and you’re doing your best. Back to back meetings, with no time factored in to even eat! Reaching the end of a very long day, exhausted, cranky but needing to put those meetings in to action (not to mention look at all the emails and calls that have come in during the day).  Sound familiar?

Here are come calendar tips to #GETORGANISED:

  • Be selfish! Either you rule your calendar or it rules you. Factor in some time to exercise, take a break, do something for you and stick to it. You’ll be amazed at how much easier everything is to deal with when you’ve had some breathing space. Personally, I like to start my day before the kids get up so I can plan and I’m ready to dive in once they’ve gone to school.
  • Colour coding – rather than having separate calendars for business, social, kids reminders etc. have them all together but in different colours. (e.g. blue for work – light blue for in-house, dark blue for out of office, Green for social, Orange for the kids etc.)
  • Block out time to do work, time to respond to emails, time for particular projects and stick to it. There’s no point in having meeting after meeting if you have no time to implement any of the actions that have come from them.
  • SAY NO! If the meeting doesn’t have an agenda or purpose, ‘say no!’.
  • LEAVE! – The meeting has moved on and no longer needs you to sit and listen? ‘Thanks for your time, if I’m no longer required I’ll leave you to it’….why waste yours and others time?
  • Have select days for in-house meetings and out of office meetings. This way, you’re not burning up lots of time and energy dashing between the office and outside meetings every single day.
  • Book 30-minute meetings so people know to wrap it up in that time. In-house meetings should not need to be an hour long.
  • DO NOT BOOK BACK TO BACK! It is far more efficient to complete a meeting and have time to jot down some notes while it’s fresh in your mind than to try and come back to it hours later.
  • Factor in travel time! You’d be amazed how many people simply don’t give themselves enough time to get from one meeting to the next when out of the office. Always give yourself a bit of wiggle room. You’ll appear far more professional (and feel less stressed!). Arrived too early? Sit and have some time to make notes on your previous meeting, while it’s fresh in your mind!
  • Deal with conflicts. No matter how organised you are, conflicts do arise. You can’t be in two places at once!

It can be hard to change your routine but, if you’re struggling to find the time to achieve everything within your working day, I urge you to give it a try for a couple of weeks.
